What is meant by personal data?
Personal data are any type of data that could identify an actual person. For example, your name, your phone number, your address, and email. However, personal data also includes the IP address of your computer or your IBAN when you make a bank transfer.

What data do we collect about you
We collect personal data that is given by you, via explicit consent, such as:

If you have provided your name and email for newsletters we share your name and email with Brevo.com

We also collect internally analytical data, based on our legitimate interest, to understand how we can improve our tools and service to you. This is data that you give to us or leave behind on our website and social media, directly or indirectly, such as:

  • account logs
  • website visits, of which we can see a part of the IP address.
  • unique marketing offers we only wish to share with our members
  • social media data, like hashtags, posts, reference or when you mention our brand, etc.
  • cookies
  • your action and reaction data regarding our marketing campaigns
  • unfinished membership registrations.

Why do we use personal data?
We process the following personal data for its purpose:

Name and address:
So that we know to whom we should address the
products and the address where the products should be delivered to.

Telephone number:
Your phone number is important so that we can provide you with important information regarding your payment. This as an extra service, in case you have missed our emails. 

Note that we shall never use your phone number for any other purpose, and we never call you for marketing purposes. 

Email and payment details:
We use your email address to send personal emails and online campaigns. We also use your email address and payment details to prevent fraud. These two items will be verified when making a payment. In addition, we use your data so that when you make a change online we can amend it for you.

Your transactions and payments:
We use the name and the account number of the person ordering via direct debit. We need this data so that we can execute your payment or order. We also use the data so we know when someone has become a member and when the first package can be sent.

Your account logs:
Any changes you make to your account will be saved. This way we can see when you have changed your size or changed your address etc. We use this data so we can provide you with the best possible service. For example, if your hoodie has not been received at the new address after a change of address, it is possible that you have made your change just a little too late. By saving the logs we will be able to review them with you and provide you with a suitable solution.

Your reactions to and about HoodieHub on social media:
This includes messages about HoodieHub that you post on the social media on which we are also active and which are accessible to everyone. Also your messages in our HoodieHub WhatsApp and your chat data with our webcare team on Facebook.

Marketing data
Perhaps you have seen us at one of our affiliated marketing partners. We work often with marketing partners because they help us to spread our brand. No worries though! We never share your personal information with a marketing partner. Your personal information is fully excluded from this process. This works also vice versa: no marketing partner shares any personal information with us. As soon as you tap into our brand via one our marketing partners, for example, via an advertisement or ad in an app, you are led directly to our website. With who do we share your data
We never sold, and will not sell your data to Third Parties.

We do share your data with some Third Parties to provide and improve our services to you. When we share this data, we make sure that all parties ensure your data is protected with the technical and organizational security measures as required by the law. Prior to sharing your data we assess what data we are required to share with our partners, ensuring that no unnecessary personal data will be shared.

We share your payment details to the bank
We share your first name, last name and IBAN to our bank, B-Post, so that monthly payment can be set up. Naturally, this will be handled carefully and B-Post will not use your data for third parties. It is therefore only possible to change your bank details online, so we can be sure that the new bank details are yours. Of course, if you find any trouble, please contact us and we will help you personally to find a safe solution. We share your data to our mail service Brevo.com so that emails like a payment notification can be sent to you.

We share your first name, last name and email address to Brevo.com, so we can send a personal email to the correct email address, and send you promotional campaigns about our personal and latest offers. You can, at all times, unsubscribe from these campaigns, or object to this mail service. Brevo.com has assured us they will not share your data. However, we refer to their privacy policy to understand how they handle your data. We share your details to our partner Printful.com so that your hoodie will arrive in your mailbox as soon as possible.

We share your first name, last name and address details to the local delivery service, so they know to which address your hoodies should be delivered. We refer to the privacy policy of your local delivery service to understand what happens with this data.

Automated systems
We are working very hard to make it as easy as possible for you to order a hoodie or become a member of HoodieHub. Therefore you can do everything online via our automated systems without having to contact our Customer Service. What are your data protection rights?
You may always contact us to:
Access your data, and request a copy with what data is being processed about you, with whom this data is shared and for how long it will be stored.

Request that your data is corrected. In case you notice we have incorrect data from you, please reach out to us to complete or correct the data you believe is incomplete or incorrect.

Object to have us use your data or ask us to 'forget you'. As much as we hate to see you go, you may always ask us to delete your data. We will fulfill your wishes, unless we have to comply to legal obligations from public authorities that makes us keep your data. For example, we cannot delete your data when we need to keep this for reasons of public interest in the area of public health; for establishment, exercise or defense of legal claims.

How we think about privacy
You can be rest assured that we will handle your data with care. HoodieHub takes all interests into account and your right to privacy is very important to us as is transparency about how your data is being processed by us and our partners. We are careful with your data.

  • We monitor the security of our systems on a regular basis, so that your data remains protected and does not become public.
  • We want to get to know you well to provide you the best of services, but we limit our data collection only to what we need to provide you our hoodies and other products.
  • We are very careful with who is qualified to see your data and have designed specific policies for this. We stay up-to-date.

Our privacy policy is continuously reviewed and we are constantly investing in the security of your data. This Privacy Policy is from October 2023, and we suggest you check this policy every once in a while. If specific changes are made to this policy, we will update you personally.

You can unsubscribe from our mail service Brevo.com. At the bottom of the last received mail you can easily unsubscribe from the newsletter. You will then only receive e-mails relating to important account information or payments. At all times you may contact us to make use of one your data protection rights, or ask us any questions about our policies. We aim to respond to you within 14 days. Please, accompany your letter with your name and address so we can make sure to answer you. Should you wish to report a complaint or you feel HoodieHub has not addressed your concerns in a satisfying manner, you may contact the Data Protection Authority in Belgium.
